How to use this sales capacity calculation

Capacity begins with the number of productive touches your team can make, then divides that effort by the touches it takes to qualify, close, or disqualify a lead. In a handoff model, the calculator also applies the MQL-to-SQL handoff rate so both stages are measured against the same volume. Adding leads above the limiting stage creates a slower response time, not more pipeline.

Use the calculator before changing a lead target, a paid media budget, or headcount plan. If the team has headroom, marketing can increase volume. If it is over capacity, fix the bottleneck first by improving conversion, simplifying follow-up, or adding the right capacity.

Multiply the number of reps by their average productive touches per day and working days per month, then divide by the average number of touches needed to work a lead through the relevant stage.

What is a sales capacity bottleneck?

It is the stage that can process the fewest leads. In an SDR-to-AE model, the team can only move as many leads as its lower-capacity stage can handle.

How much capacity should a sales team have?

A healthy target is generally 85 to 110 percent of planned lead volume. Below that range, the team has room to take on more demand. Above it, lead response and follow-up quality are likely to fall.
